    Under general supervision, the Operations Administrator shall provide daily administrative, clerical, and functional support to bus and vehicle operations. Coordinates communications, service needs/requirements, reporting, and provides assistance between client account management, Operations, Dispatch Department, the Maintenance shop, and Bus Washing.

    Acts as first line support and provides assistance for all employees (drivers, maintenance, bus washing office staff, etc.), external clientele, vendors, and the public. Ensures the facility location(s) and premises is/are suitable as clean and safe environment.


    Key Responsibilities:

    1. Prepares and complies route schedules for client accounts.
    2. Monitors and tracks mapping of initial loading and onboarding for client accounts.
    3. Provides administrative support to client account management pertaining to vehicle operations (company vehicles, bus transfers, driver communications, etc.).
    4. Provides assistance and support for Operations and the Dispatch Department.
    5. Coordinates with the Maintenance Department to schedule vehicle repairs, ongoing preventive maintenance, fueling/refueling, and other requested/necessary tasks.
    6. Communicates with the Bus Washing Department to ensure vehicles are cleaned, sanitized, washed, and in working condition for driving operation, usage, and onboarding for client passengers.
    7. Conducts fueling audits to ensure company vehicles are accurately fueled, refueled, and measured correctly.
    8. Schedules and provides authorization for driver employees to use company vehicles for personal usage.
    9. Verifies and marks all lost and found items for recovery.
    10. Communicates and reports clientele and operational issues/complaints to client account management.
    11. Informs and reports driver employee issues to client account management.
    12. Orders supplies and materials and ensures adequate replenishment for the facility location(s).
    13. Responds and answers incoming telephone calls and greets external clientele, vendors, and visitors at the facility location.
    14. Greets and assists prospective applicants seeking employment to complete and compile application documents and materials.
    15. Communicates and transmits employment applications, documents, and materials to client account management, Human Resources, Safety and Training, and other respective departments.
    16. Provides assistance and support to ensure facility location is a safe and clean environment for all employees.
    17. Performs other work, duties, and projects as assigned and when requested


    Education, Licensing, and Certifications Preferred:

    1. High school diploma or equivalent.



    1. One (1) or more years of progressive experience within bus transportation operations.
    2. General clerical office administration experience.
    3. Experience working in a light industrial facility location. maintenance shop, or office preferred.


    Skills and Knowledge Required/Preferred:

    1. Understanding of bus transportation operations (i.e.: dispatch, driver routes, scheduling, communications, and etc.).
    2. Knowledge and understanding of office processes, practices, and procedures.
    3. Good written and oral communication skills.
    4. Good computer, systems, and office equipment usage skills (including Microsoft Office, telephones, copier, printer, etc.).
    5. Knowledge or understanding of bus and shuttle vehicle maintenance desired.
    6. Ability to manage and complete multiple projects and tasks simultaneously.
