    Under moderate supervision, the Parts Clerk / Administrative Assistant maintains adequate inventory stock levels to perform maintenance procedures and related work, complies with optimized inventory turn ratio (3.0) by coordinating with the Maintenance Manager and maintenance staff.


    The Parts Clerk / Administrative Assistant provides administrative support and performs various clerical tasks. These tasks might include purchasing, accounts payable, reconciling accounts, shipping and receiving, and special projects as assigned by Management.


    1. Ensure that parts/materials purchased meet contractual and Company requirements
    2. Performs biannual physical inventory and weekly cycle counts to assure that an accurate part inventory is maintained at all times
    3. Purchase supplies and other items within guidelines set by the Maintenance Manager
    4. Utilize RTA and/or client software system to determine daily parts requisitions, transport waiting parts, and suggest reorder reports
    5. Receive parts and materials from vendors, stock shelves with new inventory, maintain organized stock room and issue parts to technicians
    6. Develop a timely delivery system with vendors as required
    7. Receive, review, and verify invoices. Resolve invoice problems and prepare purchase orders for approval by the Maintenance Manager
    8. Organizes and assists with coordinating daily PMI schedule and Maintenance Repair Orders
    9. Process work orders, repair orders, PMI information, vehicle mileage, and other data into the RTA and/or client software system
    10. Maintains information regarding life history of all vehicles including daily fuel and oil usage, and major component serial numbers
    11. Maintain files for all maintenance-related records, contract correspondence, and maintenance forms.
    12. Ensure the cleanliness of the parts storage area, parts counter, and parts receiving area
    13. Provides administrative and personnel support functions for the Maintenance Department and the management team
    14. Answer telephones, take messages, and transfer interoffice calls
    15. Assist with correspondence for the Maintenance Manager
    16. Utilize the appropriate forms to notify Human Resources of any changes in maintenance employee status
    17. Prepare reports and assist the Maintenance Manager with reporting requirements
    18. Other duties as assigned

    1. High school diploma or equivalent, such as GED
    2. A minimum of 2 years of counter or stockroom experience in an automotive or trucking environment
    3. Basic knowledge of Microsoft Office Suite, inventory management systems, and standard office machines
    4. Ability to communicate well via the written word or verbally
    5. Knowledge of parts and tools needed to repair diesel equipment
    6. Must be able to work flexible hours
    7. Possess a folk lift certification or have the ability to obtain a fork lift certification within 90 day probationary period
    8. Parts Certification preferred
    9. Basic knowledge of all office equipment
    10. Must submit to drug testing and a background check

    • 30% of work is accomplished in doors and in air conditioned or well ventilated facilities.
    • 70% of work is accomplished open garage facility/outdoors.
    • Must be able to lift up to 50 pounds
    • Must be able to work in extreme heat and cold and in a damp environment with moderate noise
    • Performs physical activities that require considerable use of the arms, repetitive hand-wrist motion, and legs and moving the whole body, such as climbing, lifting, balancing, walking, stooping, and handling of materials. Regularly required to stand and sit, talk, hear and smell.
