  • Overview

    Under moderate supervision, the Office Administrator provides administrative support and performs various clerical tasks. These tasks might include purchasing, accounts payable, accounts receivable, budgeting, reconciling accounts and special projects as assigned by Management.

     

    The Office Administrator provides administrative support to the Human Resources department and Quality Assurance department. This position involves access to confidential information and reports to the Human Resources Manager.

    Responsibilities

    • Provides administrative support to the General Manager and the management team
    • Assists with accounts receivable and accounts payable functions including ensuring payments are processed in a timely manner and controlling expenses by receiving, processing, coding, verifying, and reconciling invoices
    • Responsible for purchasing necessary supplies and equipment within budget; manages equipment and vendor service maintenance contracts in accordance with company purchasing policies and budgetary requirements
    • Ensures office equipment (computers, phones, printers, faxes, copiers) for staff is secured, operational and well maintained
    • Organizes and maintains paper and electronic files
    • Arranges special meetings and events as directed
    • Processes mail and arrange shipments and deliveries as needed
    • Schedules meetings and appointments with employees and external contacts
    • Responsible for preparing employee files, filing paperwork, and performing data entry
    • Assists with payroll tasks
    • Other duties as required

    Qualifications

    MINIMUM REQUIREMENTS

    • High school diploma or equivalent, such as GED, required
    • A minimum of 2 years of general office experience required
    • Basic knowledge of all office equipment
    • Must be computer literate and proficient in the use of Microsoft Office
    • Ability to organize and perform work efficiently
    • Excellent data entry skills with strong attention to detail
    • Ability to communicate well via the written word or verbally
    • Must be able to work in a fast-paced environment and exhibit good interpersonal skills with others, at all levels both internal and external
    • Ability to maintain a flexible attitude and approach to assignments
    • Must be able to maintain a high level of confidentiality of all information
    • Must submit to drug testing and a background check

    • Must be able to work shifts or flexible work schedules as needed
    • 100% of work is accomplished indoors and in air conditioned or well ventilated facilities
    • Work is accomplished in an office or in a cubicle space equipped with a telephone and computer
    • The employee is generally subjected to long periods spent sitting, typing, or looking at a computer screen
    • Performs physical activities that require considerable use of the arms and repetitive hand-wrist motion. Limited light lifting, balancing, walking, and stooping required.
