Responsible for the leadership of administrative staff and activities in an office. Under the supervision of the General Manager, the Administrative Manager will be responsible for a variety of business administrative functions and support the General Manager and his/her management team. This position has access to confidential information.

 

The Administrative Manager will oversee functions related to: Human Resources, Accounting/Payroll, and office management activities. In addition, this position will work with the General Manager and his/her staff in various duties and projects related business operations and safety at the property site

Responsibilities

 

HUMAN RESOURCES

  • Performs a variety of human resource generalist duties related to the functional areas of employment practice and the employee work cycle which will include activities in recruitment/hiring, orientation/on-boarding, benefits administration, training, and the employee exit/separation process which may include processing or protesting unemployment claims and /or hearings.
  • Partners with employees and management to communicate human resources policies, procedures, laws, safety standards and government regulations as well as organizing employee events related to these topics.
  • Responsible for effective communication to employees related to human resources/benefits/payroll, maintains employee bulletin boards and publishes employee newsletters; Coordinates employee recognition programs.
  • Responsible for tracking employee PTO leave; Leave of Absences; FMLA; STD/LTD cases to ensure compliance with divisional, corporate and federal guidelines. Maintain centralized schedule for all employees.
  • Shall assist employees in answering and handling a variety of HR/Benefit/Payroll questions and issues.
  • Participate in GM/Departmental meetings related to staffing, performance, employee relation activities such as claims/grievances and disciplinary actions.

 

ACCOUNTING/PAYROLL

  • Oversees and accurately processes bi-weekly payroll, employee timekeeping activities and maintain files related to payment and /or transfer of payroll, taxes, vacation, holidays, sick and other paid time off benefits.
  • Enters employee and payroll data into ADP; verifies accuracy and balances/reconciles accounts.
  • Responsible for accounts payable and receivable functions by preparing, reconciling and processing purchase orders, vendor invoices, requisitions, vouchers, month-end statements and expense reports for payment or collection using various company software; JD Edwards, ADP, Concur, etc.
  • Will prepare, run and edit payments to the company’s and sub-contractor’s vendors.
  • Prepares and coordinates daily reporting, month-end closing and other payroll/accounting reporting requirements.

 

OFFICE & GENERAL MANAGEMENT SUPPORT

  • Oversees efficient operation of the business management office, receives and sends mail/deliveries and creates facility maintenance work orders as necessary.
  • Maintains office equipment and phone systems, orders and manages repairs of same
  • Responsible for maintaining vehicle maintenance logs, fuel consumption and related mileage reporting
  • Purchases office supplies/equipment and tracks inventory.
  • Support the General Manager in a variety of daily administrative and operational duties
  • Creates power point presentations such as monthly rail and safety reviews
  • Creates accurate and timely correspondence, arranges meetings and events for the General Manager and his/her management team and may run routine errands.
  • Prepares and assist in outside agency audits and various special projects as assigned
  • May assist General Manager in a variety of operational reporting duties, such as monitoring department output, KPI reporting requirements, budgets, overtime and absenteeism, etc.

 

Qualifications

Education, Licensing, and Certifications Required:

  • High school diploma or equivalent, such as a GED, required

Education, Licensing, and Certifications Preferred:

  • Bachelor’s degree in Human Resources, Business or related field preferred

Experience:

  • 3-5+ years of experience, including supervisory experience (required) in an administrative role; human resources and accounting preferred

Skills and Knowledge Required:

  • Knowledge of all office equipment
  • Comprehensive knowledge of Microsoft Office
  • Ability to organize and prioritize tasks, manage time, and work without constant supervision
  • Strong written and oral communication skills
  • Ability to maintain a flexible attitude and approach to assignments
  • Ability to work well with labor
  • Travel requirement (as a percent): <5% for occasional meetings

Pre-Employment Requirements:

  • Must submit to drug testing and a background check
  • Will be tested on tools related to job requirements

 

Physical Requirements:

  • Must be able to work shifts or flexible work schedules as needed.
  • 100% of work is accomplished indoors and in air conditioned or well ventilated facilities
  • Work is accomplished in an office or in a cubicle space equipped with a telephone and computer.
  • The employee is generally subjected to long periods spent sitting, typing, or looking at a computer screen.
