Overview of Position:

Directs payroll processing for the U.S. organization. Ensures accurate and timely delivery of payroll to employees and all activities related to payroll processing and accounting. Supports 13,000 US employees with multi payroll cycles.

Responsibilities

Key Responsibilities:

  • Manages local payroll administrators; coaches and mentors payroll administrators in remote offices and the regions.
  • Process weekly and bi weekly payroll; manage periodic payroll and special runs.
  • Ensures accurate and timely delivery of payroll to employees and posting of payroll transactions to the general ledger.
  • Reviews and approves monthly reconciliations, and provides reports and documentation to controllers and finance department.
  • Project leadership related to payroll changes as needed.
  • Recommends continuous improvements to procedures for the preparation, documentation, and disbursement of all payroll checks, taxes, and employee benefit payments.
  • Implements system changes, upgrades, or government mandated changes to payroll.
  • Ensures payroll processing and accounting activities comply with internal and external audit requirements, and coordinates responses to auditor inquiries.
  • Manages accurate and timely processing of year-end activities, including coordination with payroll services providers.
  • Keeps current with compliance on new and existing tax and other payroll related legislation.
  • Main liaison with ADP for system upgrades, off cycle payroll, garnishment and banking items.
  • Understand and manage multiple time capture activities with in house and external systems.
  • Maintains confidentiality of all information.

Qualifications

Education, Licensing, and Certifications Required:

  • Education: Bachelor’s degree in Accounting or Finance required.

    License: Certified Payroll Professional (CPP) preferred.

 

Experience:

  • Five or more years of relevant payroll experience, including ADP E5 experience, required.
  • Three to five years of supervisory experience required

Experience preferred:

  • Experience in a transportation environment preferred.
  • Understand Collective Bargaining and union rules preferred.

 

Skills and Knowledge Required:

  • Knowledge of accounting including accounting theory and principles as they apply to payroll, and Generally Accepted Accounting Principles required.
  • Knowledge of relevant payroll tax regulations and program resources.
  • Ability to interpret, apply, and improve processes and procedures.
  • Strong Microsoft Office skills, including Access, Excel, Power Point and Word.
  • Excellent written and oral communication skills including strong presentation skills.

Travel requirement (as a percent): <5% for occasional travel

 

Pre-Employment Requirements:

  • Must submit to a drug test and a criminal background check

 

Physical Requirements:

  • Must be able to work shifts or flexible work schedules as needed.
  • 100% of work is accomplished indoors and in air conditioned or well ventilated facilities
  • Work is accomplished in an office or in a cubicle space equipped with a telephone and computer.
  • The employee is generally subjected to long periods spent sitting, typing, or looking at a computer screen.
